It can be thought of as a universal language for music metadata.You can use it to register new songs, update existing ones, and share key details like who owns what, where, and how much. Instead of logging into multiple PRO portals one by one, publishers can use a single CWR file to get the job done.

That one file includes all the right metadata, already structured and checked. It can be sent to several societies at the same time, with no need for extra formatting. This results in less manual work, fewer errors, and a much faster path from registration to royalty collection.

Societies like ASCAP, BMI, and SOCAN (via MusicMark) use CWR for bulk registrations. When publishers have the right setup, the entire process is cleaner and less stressful.

Scenario #1: Registering New Works Across Multiple Territories

Let’s say a publisher signs a new composer. They need to register 150 songs in the U.S., Canada, and France. Each country has its own PRO, platform, and way of doing things. Without CWR, the publisher would have to submit each song separately. That means repeating the same work over and over—checking details, fixing mistakes, and following up if anything goes wrong.

With CWR, everything can be submitted in one file. That file includes:

  • Writers and publishers involved
  • IPI numbers for each party
  • Ownership percentages (which must add up to 100%)
  • Any alternate titles

You don’t have to register songs one by one anymore. CWR lets you send everything at once, and every PRO will understand the same file. Scenario #2: Updating Ownership After a Catalog Acquisition

CWR isn’t just for registering new works. It’s just as important when your rights change. Suppose you acquire the publishing share of a 300-song catalog. Those changes must be reflected across PROs. Manually editing each work across multiple societies is time-consuming and error-prone. That’s where the REV file comes in. REV stands for Revision—it’s a type of CWR file used to update songs that have already been registered. You can use it to change ownership splits, add new territories, or update contributor roles—all without starting from scratch.

PROs like The MLC rely on these revision files to keep their databases up to date. Once your file is submitted, they’ll send back two kinds of acknowledgment files, also called ACKs:

  • The first ACK tells you if the file was received and formatted correctly or if technical issues caused it to be rejected.
  • The second ACK tells you what actually happened with the data inside the file. Was it accepted? Was there a conflict? If it were approved, the PRO would include official work IDs, like the MLC’s song code.

These responses let publishers know if their registrations were successful or what needs to be fixed.

Scenario #3: Syncing Co-Publishing Agreements and Rights Splits

Let’s say you’ve entered a co-publishing agreement. Now you need to align rights data with your new partner. If both parties submit slightly different splits or inconsistent contributor metadata, you risk having the work flagged as a conflict by the PRO. When two publishers collaborate on a song, they must agree on all the details they send. Otherwise, the PRO might flag the registration for conflicts.

With CWR, both parties can align on:

  • Matching IPI numbers
  • Correct contributor roles (like writer or publisher)
  • Territory claims
  • Ownership percentages

Submitting one shared CWR file helps make sure each party’s share is registered properly. It also helps avoid errors or mismatched data that can delay approval.
